Like the tree that falls and no-one hears it, many documents languish in an odd kind of quantum-state: Someone thinks they exist, but no-one can find them because the file-system and shared drives are just stuffed with folders; folders that were created by lots of different people over months and sometimes years.

There is a better way.

It's called WIKI.

Wiki? Sounds Like a Hawaiian Statue?

It's definitely Hawaiian, but it's not what you think.

Wiki is a piece of software which allows for truly collaborative document writing, sharing and searching. Wikis are used as document repositories, full business intranet sites and websites.

Companies like Microsoft, Motorola, British Telecom, Telstra and Yahoo! all use Wikis for their documents and intranets. And the best-known Wiki is Wikipedia

Oh, and you're right about it being Hawaiian: it means "fast".

What About Security?

In a corporate environment you don't want someone unauthorised to look at personnel files. You lock them away from prying eyes.

In Wiki, like on a computer network, security is just a case of turning the key. Movement, access and rights to edit pages can be switched on or off depending on the need far easier than in a Microsoft Word document.

But I'm used to Microsoft Word

That's great, because Wiki shares many features. You can create headings, type text, make things bold and italic. Numbers and bulleted lists work with the click of a button.

The difference is that you're creating the page in a Wiki, which means you'll have these additional benefits:

  • If you made a mistake a week ago, you can go back (also known as Version Control)
  • You can access your files from any computer in the building (and if it's set-up, even from home) in any web browser
  • You can easily collaborate on work with a colleague - and without the hassle of Word's "Track Changes" function
  • Formatting and style will always be consistent, and you'll never run into style and page formatting problems
  • You'll always know who has edited your document and what they've done
  • If you can't remember the name of your document, you can search easily for it based on any text in it, the author, or any of a number of other search methods.

Not only that, you can easily upload Microsoft Word, Excel and Powerpoint documents (or any other file) for easy access.
